Position: Jr. Operations Coordinator
$28 - $30k per year

We are currently seeking an enthusiastic and motivated individual to join our team in this Jr. Entry level position. This job is not a typical administration job and there are two distinct components to it. Heavy lifting is involved as well as warehouse work and office administration so the successful candidate must be comfortable with variation in their daily tasks.  A valid Drivers license and car is required along with a valid Passport.

Warehouse / Onsite Component 80%

Pack and ship crates for shows / coordinate with Project Manager for deliveries

  1. prepare packing lists
  2. prepare equipment for shipping which can include:
    1. taking equipment off shelves and cleaning it to go out for a show
    2. ensuring all software is current
    3. testing equipment prior to shipping and adjusting settings.
    4. confirm shipping locations with show management or PM


Delivery, setup and support of registration and ticketing installations onsite. 

  1. arranging with transport company for the delivery of equipment
  2. truck rental and driving equipment on site for local events
  3. show setups including installing the network onsite, running all appropriate cables / wires, setting up systems and on site testing
  4. supporting the show while in progress, providing show management with required reports
  5. travel to provide onsite support to shows across North America
  6. training of on site staff at shows
  7. supporting systems while show is up and running
  8. ensuring registration / ticketing areas are running smoothly
  9. supplying staffing agency with required reports on site
  10. prepare internal use daily status reports


On site Lead Retrieval (equipment rental at events)

  1. assisting with distribution of scanners on site at show
  2. exhibitor training on proper use
  3. floor walks to ensure proper operation of units
  4. reporting any issues right away to managers

Office / Admin Component – 20%
Equipment Forecasting

  1. preparing shipping schedules, accounting for equipment usage, providing supervisor with appropriate reports for shortage

Checklist Completion

  1. ensuring all components on each show checklist has been done and is correct prior to shipping of equipment for a show
  2. preparing packing lists for shows and cross checking with previous years show to ensure accuracy

Preparing Shipping Documentation

  1. preparing customs documentation for cross border shipments to ensure on time delivery of equipment

Travel Arrangements of Staff

  1. booking travel arrangements of staff

Show Notes

  1. ensuring proper show notes are done on site for each and every show,
  2. following up on any post show issues

Show Manuals

  1. preparing and updating show manuals for all process’ and new systems

Customer Service

  1. dealing with show managers on site to make sure all needs / requirements are being met and addressing any issues or reporting to management right away
  2. arranging with show managers delivery schedule for equipment

System Maintenance

  1. routine maintenance and updates to show equipment

General Office Administration

  1. completing all required forms / checklists for a show in a timely and accurate manner
  2. testing of new systems,
  3. research of new equipment

Position: Sales Representative

Primary Function:

To call, call, and call again - we need to tell an industry of leads about our superior product and service.

Specifically, our sales representative will...
Arrow Connect with event producers to generate valuable leads and to develop long-lasting relationships
Arrow Increase revenue among first-time clients in the North American trade and consumer show industry
Arrow Support our growth into new markets and/or with new products

Duties/Responsibilities:

Arrow Pursue leads obtained from a variety of sources: directories, contacts, incoming enquiries
Arrow Prepare proposals detailing services to be provided and associated costs
Arrow Perform other duties as assigned and deemed necessary of the position
Arrow Ability to travel to present demos and meet with potential clients

Qualifications:

Arrow Knowledge of the consumer event and/or trade show industry is mandatory
Arrow 2 to 5 years direct sales experience selling registration services via telephone
Arrow Proficient in lead generation, fact-finding and closing the sale
Arrow Proven and consistent achievement/over-achievement of sales quotas
Arrow Excellent communicator both written and oral who is able to articulate technical features
Arrow High level of accountability and experience working independently
Arrow Exceptional organizational skill and detail orientation
Arrow Proficiency in standard software applications such as Word, Excel and PowerPoint is required; knowledge of one or more sales management software packages is an asset

Please note that this position will require you to have a home office, personal computer and high-speed internet. A VOIP phone system will be provided. Bi-monthly meetings in the Toronto office will be required.
